Definition

Indirect procurement is the purchasing of goods and services that keep a business running but don't become part of the product it sells. Typical categories include office supplies, software and SaaS subscriptions, IT, facilities, MRO (maintenance, repair, and operations), marketing, travel, and professional services. It's also called indirect spend or non-core spend.

The distinction matters for finance because indirect spend usually lands in operating expenses (OPEX), while direct materials flow into cost of goods sold (COGS). Indirect procurement typically involves more suppliers, a smaller average spend per supplier, and requesters spread across every department. That makes off-contract, or maverick, spend more common and harder to track.

FP&A teams usually budget and track indirect spend by department through cost center management. To challenge recurring costs such as software renewals, some teams use zero-based budgeting, which asks budget owners to justify every line from zero each cycle.

Frequently Asked Questions

What is the difference between direct and indirect procurement?

Direct procurement buys the raw materials and components that go into a product, so its cost hits cost of goods sold (COGS). Indirect procurement buys the goods and services that support operations, such as software, facilities, and travel, and usually lands in operating expenses.

How does indirect spend show up in budgets?

Indirect spend usually appears in operating expenses (OPEX), budgeted by department or cost center across lines such as software, travel, marketing, and professional services. Actuals arrive as supplier invoices recorded in accounts payable and coded to the relevant expense account.

How do finance teams plan and control indirect spend?

Finance teams set budgets by cost center, then compare actuals with plan in regular variance reviews to catch overruns and off-contract purchases. Some teams use zero-based budgeting to make budget owners rebuild recurring lines, such as software subscriptions, from zero each cycle.
